Integrate in Outlook

"File" - "Account Settings" - "Account Settings" - Double click on own account - "Further Settings"

Click "Advanced" tab - "Add" - Add mailbox: Name_of_shared_mailbox (for example IT-Sicherheit)- OK

If you wish, the shared mailbox can be added to your favourites so that you immediately receive incoming e-mails:

Select the inbox of the shared mailbox, right click and select "Show in favourites"

Sending an e-mail from a shared mailbox

Write a new e-mail by clicking "New e-mail"

Swap to the "Options" tab and select the "From" button

Then select "Further e-mail address"

and select the name from the address book. Confirm with "OK".

From now on you can use the "From" button to select the sender whenever you send an e-mail.

Sending an e-mail from a shared mailbox with the option "Send on behalf of..."

In order to send a message from a shared mailbox with the option "Send o behalf of", it is necessary to create the e-mail within your personal mailbox area before selecting the desired mailbodx as a sender using the "From" button.

If the message is created directly in the group mailbox area, the message will not be sent propery and you will receive an non-delivery error message after sending.

Outlook Web Access (OWA): Opening a shared mailbox in a separate window

This method is recommended if you want to view and manage the shared mailbox in a separate window.

  1. Log into your account in the Outlook web app.

  2. Click on your name in the navigation pane. A list will now be displayed.

  3. Click on "Open another mailbox".

  4. Enter the e-mail address of the other mailbox that you want to open, and then select "Open". Alternatively, you can start typing and then select "Search Contacts and Directory" to find the mailbox that you want to open. Select the mailbox and select "Open". Outlook Web Access will open in a separate window, giving you access to the other mailbox.

Outlook Web Access (OWA): Adding a shared mailbox so that it appears under your primary mailbox

This method is recommended if you want to monitor your e-mail in the primary mailbox and the shared mailbox at the same time. Once this process is complete, the shared mailbox and its folders appear in the navigation pane every time you open OWA.

  1. Log into your account in the Outlook web app.

  2. Right-click the primary inbox in the navigation pain and select "Add shared folder" (You can find the name in your primary inbox).

  3. In the "Add shared folder" dialogue box, type the name or e-mail address of the person who shared the mailbox with you and select "Add".

The shared mailbox will appear in the folder list in OWA. You can expand and collapse the folders of the shared mailbox in the same way that you can for your private mailbox. You can also remove the shared mailbox from the folder list by right-clicking it and selecting "Delete".
